Terms of service
These terms describe the current service and its responsibilities. Any separately agreed commercial scope, onboarding work or data-processing requirements should be confirmed before payment or data upload.
The essentials
- You control your business records and who can access them.

2. The service
DeniFlow provides a web-based receivables and collections workspace. Its current currency is KES and its business dates use Africa/Nairobi. It is not a bank, lender, debt-collection agency or provider of financial or tax advice. A DeniFlow payment record does not itself initiate or confirm a payment with a provider.
4. License and ownership
DeniFlow grants you a limited, non-exclusive right to use the hosted service for your authorized business activities while your account and subscription permit it. This does not transfer ownership of the software, branding or documentation. You and your business retain rights in the records you provide. DeniFlow may process those records to operate the requested service, secure it and provide authorized support; entering data does not grant a general right to sell or commercially exploit your customer book.
5. Records and acceptable use
Enter accurate records and review allocations, imports and corrections. Do not upload information you have no authority to process, impersonate another business, send unsolicited abusive messages or try to access another organization’s records. Corrections preserve issued financial history. A dispute does not remove outstanding debt from financial totals.
6. Plans, trials and payment
Published plans state monthly prices and customer/team limits per organization. Trials last 14 days from workspace creation. No automatic subscription charge is made. Paid access and any custom limits are confirmed with authorized staff after an agreed payment is recorded. Optional assisted onboarding costs KES 6,500 once for an agreed scope; it is not a mandatory self-service fee. Existing agreed amounts remain recorded until a confirmed change.
7. Regional subscription quotes
Published KES catalog prices are the pricing basis. Country prices are reference-rate estimates in UGX, TZS, RWF, BIF, CDF or XAF as applicable. Confirm your billing country and create a saved quote before payment. Its local amount, currency, rate date and 24-hour expiry fix the agreed conversion for that quote. An expired quote or changed plan requires a fresh review. Bank, payment-provider or currency-exchange fees and rates may differ; the quote does not initiate payment or guarantee provider settlement. Staff record verified evidence of an actual receipt and activate the agreed period. This subscription feature does not convert the existing KES customer ledger.
8. Limits and changes
Archived customers count toward customer limits and unexpired invitations reserve team seats. Adding records beyond the plan is blocked without deleting existing history. Request a change before exceeding capacity. When a trial or paid period ends, financial changes stop while authorized historical records and exports remain available. Owners may cancel their subscription from billing settings.
9. Suspension, cancellation and data access
Access may be restricted for abuse, unauthorized activity, security risk or an inactive subscription. A business owner can remove team access, and authorized staff can apply account-status changes. Cancellation is not a deletion request. Export the records you are authorized to retain and contact support for data access or deletion questions. Financial corrections and audit history remain subject to the record-preservation controls described in the privacy notice.
10. Refund requests
The service does not issue automatic refunds. Before paying, confirm the plan, service period and any assisted-onboarding deliverables. If a payment is duplicated, incorrect or disputed, contact DeniFlow with the reference and requested resolution. Refund eligibility and timing are reviewed against the agreed order and applicable law; cancellation alone does not establish a refund entitlement or remove a statutory right.
11. External services and availability
Email depends on configured credentials and provider acceptance, which does not guarantee inbox delivery. Automatic M-Pesa settlement verification, SMS/WhatsApp sending, accounting connectors and eTIMS submission are not currently included. No uptime service-level agreement or automatic provider backup recovery guarantee is offered. Maintain your own authorized exports appropriate to your business needs.
12. Your review responsibilities and service limits
Review imported evidence, financial entries and customer communications before relying on them. DeniFlow does not guarantee that every record is accurate, that every message arrives, that debt will be collected or that the service is uninterrupted. Use appropriate independent records and business checks. Any negotiated liability allocation belongs in your written commercial agreement and remains subject to applicable law; nothing in these terms excludes liability or remedies that cannot lawfully be excluded.
13. Changes to these terms
The version and effective date identify this text. Review published changes and product notices. A change to this page does not silently amend an already agreed price or extend access to customer data. Material commercial changes should be confirmed with the business before they apply.
14. Support and disputes
Use workspace support for account issues and the public contact form for commercial questions. Report an incorrect financial record through the correction workflow rather than deleting history. If a payment, onboarding scope or subscription amount is disputed, provide the reference so it can be reviewed with staff.
Let’s clarify it.
For a policy question or personal-data request, contact DeniFlow. For customer records held by a business, also contact that business’s administrator.
