Work with KES, USD and cheques
Keep currency ledgers separate and track cheques until actual clearance.
Choose the correct ledger
Use the currency selector in the workspace header. Balances, aging, statements, receipts, reconciliation and credit limits use that currency. No exchange-rate conversion joins these totals. The subscription billing currency is separate.
- In Settings, add a receiving bank account or cash book in its actual currency. Verify account details with your finance team.
- Select KES or USD before issuing invoices or recording receipts. USD receipts require the matching receiving account.
- Allocate only to invoices for the same customer and currency. Credit notes retain the invoice currency.
- Review each currency separately in customer statements and reports.
Track a cheque without treating it as cash
Open Payments → Cheques. Receiving and depositing a cheque do not settle debt or increase collected cash. Keep the bank evidence and actual event dates.
- Receive the cheque with its number, drawer bank, customer, amount, currency and intended bank account.
- Record a deposit when it actually happens. Expected clearance is a planning date only.
- Record clearance only after reviewing real bank evidence. DeniFlow posts one linked manual bank receipt; allocate it from Receipts.
- If returned unpaid, record the return and reason. A cleared receipt reverses and settled balances reopen. Reopen any statement match first.
Know the limits
Cheque clearance entries are human assertions, not an automatic bank connection. Partial clearance, re-presentation and cross-currency cheque settlement are not supported. M-Pesa receipts use KES only. Cash remains manually recorded.
