Prepare a customer statement
A statement explains an account over a selected reporting period. It is more useful than sending a balance with no context.
- Open the customer and its statement view.
- Select the period you intend to discuss. Check the beginning position and activity within the period.
- Review invoices, receipts, allocations and dated corrections. Investigate unallocated credit before requesting more money.
- Use an available export action only if your role permits it. Check the recipient and avoid sharing other customers’ records.
Read the aging report
Aging groups unpaid receivables by how long they have been overdue. Compare the as-of date and your visible customer scope before comparing two reports. A collector’s restricted total may differ from the organization-wide finance view.
Disputes and credit are different
A dispute records a disagreement; it does not cancel debt. Disputed amounts remain in balances, aging and statements. Unallocated receipts are customer credit and must be reviewed alongside open invoices. Do not subtract an unrelated customer’s credit.
Choose the right output
Audited CSV exports retain exact monetary fields. Fields ending in minor units are hundredths of a KES: 125050 means KES 1,250.50. Browser printing can produce a local PDF through your browser; it is not a server-generated, audited PDF export. Scheduled statements and public customer payment links are not currently provided.
